Nexim (“we”, “our”, “us”) is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Nexim desktop application, website (nexim.sg), and related services. By using our Service, you consent to the practices described in this policy.

2. Information We Collect

We collect the following categories of information: • Account information: name, email address, and organisation details provided during registration. • Usage data: feature usage patterns, session duration, and application version, collected to improve the Service. • Trade data: shipment records, HS classifications, documents, and compliance data you input into the platform. This data is stored locally on your device and, if cloud sync is enabled, on our secure servers. • Device information: operating system, device type, and application crash reports to diagnose technical issues.

3. How We Use Your Information

We use your information to: • Provide and maintain the Service, including offline and cloud sync functionality. • Authenticate your identity and manage your account. • Improve and develop new features based on usage patterns. • Provide customer support and respond to enquiries. • Send important notifications about updates, security alerts, and service changes. • Comply with legal obligations and enforce our Terms of Service.

4. Data Storage and Security

Nexim operates on an offline-first architecture. Your trade data is primarily stored locally on your device in an encrypted database. When cloud sync is enabled, data is transmitted over TLS encryption and stored on secure infrastructure hosted in Singapore. We implement industry-standard security measures including encryption at rest, access controls, and regular security audits.

5. AI Processing

When you use AI-powered features (HS classification, document extraction, compliance analysis), your input data may be processed by: • Local AI models running entirely on your device — no data leaves your machine. • Cloud AI providers when cloud processing is selected — data is transmitted securely, processed, and not retained by the AI provider beyond the request. You can choose between local and cloud AI processing in your settings.

6. Data Sharing

We do not sell your personal information. We may share your information only in the following circumstances: • With your organisation's administrators, as part of your enterprise account. • With service providers who assist in operating the Service (hosting, analytics), bound by confidentiality agreements. • When required by law, regulation, or legal process. • In connection with a merger, acquisition, or sale of assets, with notice to affected users.

7. Data Retention

We retain your account information for as long as your account is active. Trade data stored locally remains on your device under your control. Cloud-synced data is retained until you delete it or close your account. Upon account closure, we delete your personal data within 30 days, except where retention is required by law. Anonymised and aggregated data may be retained for analytical purposes.

8. Your Rights

Depending on your jurisdiction, you may have the right to: • Access the personal data we hold about you. • Correct inaccurate or incomplete data. • Delete your personal data. • Export your data in a portable format. • Restrict or object to certain processing activities. • Withdraw consent at any time. 9. Cookies and Tracking

The Nexim website uses essential cookies for authentication and session management. We use minimal analytics to understand website traffic. The desktop application does not use cookies. You can manage cookie preferences through your browser settings.

If you are accessing the Service from outside Singapore, your data may be transferred to and processed in Singapore. We ensure appropriate safeguards are in place for international data transfers in accordance with applicable data protection laws.

11. Children's Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child, we will delete it promptly.
